Adding four guests sounds like a small change. It can affect dinner, drinks, furniture and the room arrangement, while leaving venue hire and the event window unchanged. A useful proposal lets the organiser see those consequences without comparing two unexplained totals.

Our venue packages and proposal project connects the occasion, atmosphere, arrangement and commercial details. It follows the conversation beyond an attractive venue page into a plan someone can question and revise.

Let the public website establish fit

Before an organiser reaches a proposal, they need to understand the setting and the kinds of occasions the venue supports. Our private-occasions website addresses that first stage with separate settings and a route to an enquiry.

The enquiry should establish the occasion, approximate attendance, timing and questions that affect suitability. It should also allow uncertainty. An organiser may be comparing formats rather than arriving with a finished plan.

The proposal is where those preferences become more specific. Keeping the two stages distinct prevents the public form from demanding decisions the person is not yet ready to make.

Show what the arrangement means

The proposal's sample plan places eight tables of eight seats, giving 64 places. It separates the terrace arrival area from the seated dinner and identifies the service side of the room.

It also describes the working day: proposed setup before the 18:00–23:00 event, followed by pack-down. The organiser's five-hour occasion therefore sits inside a longer operational window.

PROJECT DETAIL

Make the proposed arrangement easy to discuss

Event venue packages and proposal: Make the proposed arrangement easy to discuss.
The sample plan places eight tables of eight seats and distinguishes guest arrival from service access. Venue review remains outstanding. See the event venue packages and proposal project.

The drawing is marked as a proposed arrangement awaiting venue review. Counting 64 illustrated seats does not establish approved capacity or clearances. That distinction lets the plan be useful for discussion without giving it authority it does not have.

Explain a revision through the lines that changed

Edition 02 increases the guest count from 60 to 64 and the floral allowance from AUD 1,000 to AUD 1,200. The private room, audio allowance and event window stay the same.

Changed component Increase before GST
Dinner for four additional guests AUD 580
Beverages for four additional guests AUD 192
Furniture and linen for four places AUD 60
Floral allowance AUD 200
Total change before GST AUD 1,032

Using the sample proposal's stated 10% GST, that is an inclusive increase of AUD 1,135.20. The revised total is AUD 21,903.20. The organiser can trace the amount to the requested changes rather than treating it as a new unexplained price.

IN PRACTICE

Brief to proposal

  1. 01ImagineShow the setting and supported event formats.
  2. 02PlanExplain the arrangement and collect the event context.
  3. 03ReviewSeparate the proposal version from the visual mood board.
An organiser can review the arrangement and its commercial consequences before accepting a particular proposal version.

Leave open decisions visibly open

Menu selections, dietary requirements and some supplier details remain to be agreed. The floral composition is an allowance, not a fully specified arrangement. A note asking for clarification does not accept the proposal or reserve the venue.

This is where a mood board and a commercial record need to work together. The board gives a sense of the intended atmosphere. The proposal defines what is included, and the revision page shows what changed. None can replace the others.

Our approval workflow guide explains how a later decision should remain attached to the version reviewed. The booking-system guide covers the resource checks needed before a date becomes a commitment.

Scope the website and proposal workspace separately

A room gallery with an enquiry form is a different build from a personalised proposal with arrangements, allowances and revisions. Our website cost guide explains why treating both as a page count obscures the work.

PROJECT DETAIL

Explain what four extra guests change

Event venue packages and proposal: Explain what four extra guests change.
The revision page shows the affected proposal lines while keeping the unchanged event window and allowances visible. See the event venue packages and proposal project.

Through web engineering, we connect the public introduction to the appropriate next step. A useful review scenario is a guest-count change halfway through planning. The organiser should be able to see what changes, what stays agreed and which questions still need the coordinator's attention.

Sources and calculation notes

The proposed plan has 8 tables x 8 seats = 64 illustrated places; venue review remains pending. Edition 02 adds four guests: dinner 4 x AUD 145 = AUD 580; beverages 4 x AUD 48 = AUD 192; furniture 4 x AUD 15 = AUD 60; floral allowance increases by AUD 200. Total change AUD 1,032 before the sample proposal's 10% GST, or AUD 1,135.20 inclusive. AUD 20,768 + AUD 1,135.20 = AUD 21,903.20. These are authored proposal amounts, not certified capacity or a live quotation.
