CLIENT PORTAL DEVELOPMENT

A better place
to work
with your clients.

Give every client a clear view of their work—and a simple way to move it forward.

Anteomnio builds custom client portal software for onboarding, document sharing, approvals and account access. Your clients know where things stand. Your team has the context to deliver.

Original service concept · illustrative, not a live system or client result.
CLARITY FOR YOUR CLIENTS. CONTEXT FOR YOUR TEAM.Designed around the relationship.
THE EXPERIENCE BETWEEN THE MEETINGS

Your work deserves
a clearer window.

You may be doing excellent work. If clients have to ask for every update, search for the latest file or chase an invoice copy, that care is harder for them to see.

A portal makes the relationship easier to navigate. It gives clients a reliable place to understand progress, provide information and make decisions, while keeping your team close to the conversation.

The value comes from connecting the two sides. A completed upload should resolve a document request. An approval should identify the version accepted. A status update should explain what happens next.

ONE RELATIONSHIP. TWO WORKING VIEWS.

Simple on the outside.
Organised behind the scenes.

WHAT YOUR CLIENT NEEDS

“What needs my attention?”

  • 01
    A clear next step

See the item awaiting review, the information still needed and any relevant due date.

  • 02
    The right version

Open the current deliverable with the changes explained and earlier versions available where appropriate.

  • 03
    Confidence in progress

Understand what is complete, what is underway and who to contact when a question needs a conversation.

WHAT YOUR TEAM NEEDS

“What can we move forward?”

  • ↗
    Requests with an owner

Know which client needs to respond, when they were notified and who on your team is responsible.

  • ↗
    Decisions with context

Keep the file, feedback, approver and decision together, so delivery can proceed on an agreed basis.

  • ↗
    A view across accounts

Find stalled approvals, missing documents and overdue actions without opening every client workspace.

EXPLORE A CLIENT APPROVAL

From “a few changes”
to a clear decision.

An approval needs to identify what was reviewed, who decided and what that decision allows next. Follow this illustrative brand project through three stages.

01 / REVIEW THE WORK

The proposal, with its context.

Alex sees the current identity proposal, a summary of the design direction and a named request for review. The portal makes clear that approval will allow the team to prepare final artwork.

THE CAPABILITIES THAT EARN THEIR PLACE

A portal your clients
have a reason to use.

We choose capabilities around the service you deliver and the actions clients need to take. Each part should answer a real question or complete a useful task.

01 / COLLECT

Make information easier to provide.

Replace an open-ended request for “the documents” with a clear checklist. Clients see what is needed, accepted formats and what has already arrived. Uploads belong to the relevant account or project.

Agreed reminder rules can follow up on outstanding items and stop once the request is complete. Your team sees exceptions that need a personal response.

02 / INFORM

Show progress with enough context.

A status label becomes useful when it explains what has happened and what comes next. Present milestones, recent updates and outstanding actions in language clients recognise.

Your internal notes and working tasks stay separate from the information you choose to publish. Clients get a considered view of progress, while your team retains its operational detail.

03 / TRANSACT

Connect the commercial details.

Give authorised contacts access to invoices, payment status and receipts. Where appropriate, connect checkout through your payment provider and reconcile the result with the account record.

Document signing can also be integrated when the engagement requires it. We define the provider, signing process and required evidence during scoping; a project approval and a contract signature are separate actions.

04 / COLLABORATE

Keep the conversation close to the work.

Attach questions and feedback to the document, request or project they concern. A returning client or a new account manager can follow the history without reconstructing it from separate inboxes.

Notifications direct people to a specific action or update. We agree which events deserve an email, which belong in the portal and how clients manage their preferences.

CLIENT PORTAL SOFTWARE FOR DIFFERENT SERVICES

The same clarity.
A different working relationship.

A customer self-service portal gives authorised clients direct access to selected information and tasks. What belongs in that workspace depends on the service you deliver. These are possible workflows, rather than claims about past client projects.

Agencies and consultancies

Keep briefs, deliverable versions, feedback and approval requests with the project. Separate client-facing milestones from internal tasks and record which decision authorises the next stage of work.

Accountants and professional practices

Organise engagement documents, recurring information requests and outstanding client actions. Define who can access a file, how it is reviewed and when it should be retained or removed.

B2B service businesses

Give client organisations a shared view of service requests, published progress and account documents. A project contact can manage delivery while a finance contact accesses billing information.

A client portal and a CRM do different jobs.

Your CRM holds the internal relationship record: contacts, sales activity and account history. Your client portal publishes selected information and lets clients take action. Connecting the two can keep client details consistent without exposing internal notes or asking your team to maintain two independent records.

ACCESS IS PART OF THE DESIGN

The right information.
For the right people.

A client account may include a project lead, a finance contact and an external reviewer. They do not all need the same access. We map those relationships before building the permissions around them.

Permissions are enforced on the server for records, files and actions. We also define invitation, account recovery and access removal, including what happens when someone leaves a client organisation.

CONNECTED TO THE WAY YOU DELIVER

A client-facing home.
With systems behind it.

A portal should not create a second place for your team to maintain the same information. We establish where each record belongs and how the portal receives or updates it.

That may mean reading project status from your operations system, showing invoices from accounting or passing an approved request to the team responsible for delivery.

CUSTOM SHOULD HAVE A CLEAR REASON

Sometimes a ready-made
portal is the right choice.

If you need standard file sharing, a simple project view and straightforward billing, an existing product may serve you well. Branding alone rarely justifies the responsibility of a custom build.

A bespoke portal becomes more compelling when your client journey, approval rules, account structure or integrations require a closer fit. We compare those requirements with available options before defining a build.

PLAN THE EXPERIENCE BEFORE THE FEATURES

Start with one
complete client journey.

The first release should make an important interaction easier from beginning to end. We define that journey, the responsibilities behind it and how you will know it works.

01 / UNDERSTAND

Follow the relationship.

We review how clients join, what they need from you and where the current experience breaks down. Bring real requests, document examples and the systems your team uses. We map both the client journey and the work it creates internally.

02 / DEFINE

Agree the first release.

We set out the screens, workflows, roles, integrations and acceptance criteria, with a written price for the agreed scope. Invitation, mobile use and account recovery belong in that plan alongside the headline features.

03 / REVIEW

Test both sides of the service.

Working previews and weekly updates give you a way to review progress. We check client actions and the resulting team workflow, including incorrect access, missing files and interrupted tasks. Scope changes are agreed before additional work begins.

04 / INTRODUCE

Make the move deliberate.

We agree how existing clients, records and active work enter the portal. A pilot group can reveal where instructions or processes need adjustment before a wider rollout. Handover includes the agreed code, access and documentation.

A FIRST RELEASE TO CONSIDER

Invitation → document request → review → approval

A complete journey can establish the account structure, client experience and team workflow before adding billing or more complex integrations.

AFTER LAUNCH

Our standard handover includes 30 days of launch fixes. Training, ongoing maintenance and new capabilities are scoped separately. Paid deliverables follow the ownership terms in the contract; third-party components retain their licences.

How we work ↗
BEFORE YOU BUILD

A few details
worth getting right.

What is a custom client portal?

A custom client portal is a private web application where clients access information and complete tasks related to your service. It can combine project updates, document requests, approvals, conversations and account information. The workflows, branding and connections to internal systems are designed around your client relationships.

Which technologies can you use for a custom client portal?

We build portals with PHP, the MERN stack, Python and other suitable technologies. The choice depends on the client experience, permissions, integrations and existing infrastructure. We agree the approach with your team and document how the application will be deployed and maintained.

How is a client portal different from a CRM?

A CRM helps your team manage contacts, sales activity and customer relationships internally. A client portal gives authorised clients access to selected information and actions. The two can connect: the CRM may hold the account record while the portal lets a client upload documents, review work or see published updates.

Should we buy client portal software or build a custom portal?

Choose ready-made software when its account structure, document handling and workflows meet your needs at an acceptable recurring cost. Consider a custom portal when your approval rules, integrations or client experience require substantial workarounds. Compare implementation and maintenance costs as well as subscriptions, data export and the ability to change the experience later.

How much does client portal development cost?

The main cost drivers are the client workflows, permission model, integrations, document handling and migration. A document-request portal has a different scope from a portal combining approvals, billing and several internal systems. We review those requirements before providing a written price and delivery plan. Hosting and third-party service fees are considered separately.

Can a white-label client portal use our brand and domain?

Yes. The agreed scope can include your domain or subdomain, logo, colours, sign-in screens and notification templates. Third-party payment or signing services may introduce their own screens or branding. We identify those boundaries before selecting integrations so you know which parts of the experience can be fully branded.

Can a client onboarding portal collect documents and approvals?

Yes. An onboarding portal can organise requested information into a checklist, associate uploads with the correct account and show which items still need attention. Reminder rules can follow up on outstanding requests. Document review, approval authority and the next action are defined as part of the workflow.

How do you keep client accounts and documents separate?

We define the relationships between organisations, users, projects and files, then enforce access rules on the server. Testing includes attempts to access another account’s records and differences between roles within an account. We also plan invitations, account recovery, access removal and document retention around the information the portal holds.

Can the portal connect to our accounting and project tools?

Often, yes. We check supported APIs, subscription requirements and the data available before defining the connection. We agree which system owns each record, what changes should synchronise and how failures are handled. Where integration is restricted, we explain the options and any manual work that remains.

Will clients use another login?

Adoption depends on whether the portal makes a useful task easier. We prioritise clear invitations, direct links to the relevant action, mobile-friendly screens and straightforward account recovery. A pilot with representative clients can reveal friction before wider rollout. Your team also needs a consistent process for keeping the portal current.

Can different client contacts have different permissions?

Yes. A project lead may approve deliverables while a finance contact accesses invoices and an external reviewer comments on an assigned file. We define these roles, invitation permissions and approval authority around your client relationships. Access can be limited to a specific project rather than an entire account.
