A RECEPTIONIST WITH A DEFINED ROLE

The call gets answered.
What happens next matters.

An AI receptionist is a voice assistant that handles inbound calls using your approved information and reception rules. It can answer a question, arrange a booking or prepare a handoff to your team.

The useful part is what happens beyond the greeting. A caller should know whether the appointment is confirmed, whether someone is available, or when to expect a response. Your team should receive enough context to continue without starting again.

We build the conversation and the connected workflow together, so a reassuring answer corresponds to something that has actually happened.

ONE CALL, FROM HELLO TO BOOKED

Hear the request.
Finish the arrangement.

A consultation booking is a useful starting point: a clear caller need, a calendar to check and an outcome both sides can recognise. This is an illustrative call, not a client result.

North Studio receptionEXAMPLE CONVERSATION
  1. RECEPTIONIST

“Hello, you’ve reached North Studio. I’m the AI receptionist. I can help with appointments or arrange a callback. How can I help?”

  2. CALLER

“I’d like a consultation on Thursday morning.”

  3. RECEPTIONIST

“There’s a 30-minute consultation available at 10:30 on Thursday. Would that suit you?”

Checks the live calendar and allowed appointment type.
  4. CALLER

    “Yes, that works.”

  5. RECEPTIONIST

“I’ll take your name and contact details, then confirm the booking with you.”

Repeats important details before submitting the appointment.
Only after the calendar accepts the booking:

“You’re booked for Thursday at 10:30. Your consultation will last 30 minutes.”

WHAT YOUR AI RECEPTIONIST CAN HANDLE

Useful answers.
Thoughtful handoffs.

Start with the calls you receive most often. Each call type needs an approved answer, an allowed action and a clear destination when it needs a person.

01 / ANSWER

Make the everyday easy.

Opening hours, location, services and how to prepare for an appointment. Answers come from information your team has approved, with a process for keeping it current.

“Is there parking nearby?” → Give the agreed arrival instructions.

02 / ARRANGE

Find a time that works.

Check availability, collect the details your booking requires and confirm the result. Account for appointment length, staff availability, buffers and notice periods.

“Can I move my appointment?” → Apply your rescheduling rules and verify the change.

03 / CONNECT

Bring the right person in.

Recognise a request for staff, follow your transfer rules and preserve the reason for calling. When nobody is available, collect a useful callback request.

“I need to discuss an existing job.” → Route to the responsible team.

04 / RECORD

Leave a useful next step.

Capture the enquiry in the agreed place, with caller details, the request and the expected follow-up. Keep facts distinct from anything that still needs confirmation.

“Do you cover my area?” → Check the service area, then capture the work needed.

MAKE ROOM FOR A PERSON

A caller should never
have to fight the phone.

Some people want a booking. Others need reassurance, have an unusual request or simply prefer to speak with your team. We design for those conversations too.

The assistant should introduce itself clearly, allow interruptions and ask again when something is unclear. It should also know when to stop asking questions and offer the next available human route.

“Could I speak to someone?”Check the agreed transfer destination
TEAM AVAILABLE

Put the call through.

Provide context where the phone system supports it.

NOBODY ANSWERS

Arrange a callback.

Capture the reason and explain the actual response window.

Urgent requests follow a separately agreed route. The assistant must not invent advice or promise a response the team cannot provide.

AI RECEPTIONISTS FOR SMALL BUSINESSES

Built around the calls
your business receives.

The same greeting will not suit every business. We shape the questions, booking rules and handoff around what your callers need and what your team can fulfil.

Trades & home services

For contractors, plumbers and HVAC teams working on site, capture the location, type of job and callback details while the team is occupied. Check coverage areas before offering a visit.

Design around:

Service boundaries, job categories and an explicit route for urgent requests. A captured enquiry is not a confirmed dispatch.

Salons & appointment businesses

Help callers find an appointment that matches the service, duration and available team member. Explain preparation instructions and handle changes within your booking policy.

Design around:

Staff schedules, buffers, cancellation windows and the details required to make a booking.

Professional & property services

Collect the purpose of an enquiry, identify the relevant team and arrange a consultation or callback. Separate a new enquiry from a caller following up on an existing matter.

Design around:

Intake questions, confidentiality, named contacts and limits on what the receptionist may discuss.

Planning reception for a clinic or another sensitive setting?

Begin with administrative tasks and a separate review of data handling, approved wording and escalation. We do not treat specialist advice or compliance as a standard feature of an AI receptionist.

THE CONVERSATION NEEDS CONNECTIONS

Your number.
Your systems.
One considered flow.

We first check how your existing phone service routes calls and what your calendar or CRM allows. That determines what can be automated reliably and where a structured handoff makes more sense.

You can start with overflow or after-hours coverage, then expand once your team has reviewed the results.

01 Telephone routing
Forward selected calls, define transfer destinations and keep a fallback route if the assistant is unavailable.
02 Calendar & booking
Read permitted availability and create or change appointments using the rules your business already follows.
03 Enquiries & follow-up
Send structured details to your CRM, shared inbox or task system, with an owner for the next action.
04 Information & access
Agree approved answers, access permissions, recording choices and retention before calls reach the assistant.
CHOOSE THE RIGHT LEVEL OF SERVICE

App, managed service

A custom AI receptionist is most useful when your reception process needs more than the standard settings. We help establish that fit before proposing a build.

FROM YOUR CALLS TO A WORKING RECEPTIONIST

A first release
your team can listen to.

Bring examples of your common calls, your opening hours and the systems you use. We turn those into a defined reception scope and a set of calls to test together.

  1. 01

    Map the reception.

Agree the calls to handle, approved answers, booking rules, coverage hours and human destinations.

  2. 02

    Connect and rehearse.

Build the call flow and integrations. Review the greeting, pacing and outcomes using representative test calls.

  3. 03

    Pilot a defined route.

Start with an agreed set of calls or coverage period. Review bookings, handoffs and cases that needed correction.

  4. 04

    Hand over the operation.

Document routing, approved information and how to make changes. Assign responsibility for reviewing calls and maintaining the service.

AI RECEPTIONIST PRICING

Know what you’re paying
to build and to run.

The build: call-flow design, telephone setup, integrations, testing and handover. Scope is driven by the variety of calls and the work needed in your existing systems.

The running costs: phone and AI usage, messaging where used, and the agreed monitoring and maintenance. Call duration and volume matter, as do simultaneous calls and coverage hours.

We separate the implementation quote from recurring cost assumptions so you can assess the service against the value of the calls it handles.

BEFORE CALLERS DEPEND ON IT

Test the awkward calls, too.

Names & interruptionsCan it recover when a caller corrects a detail or talks over the assistant?

Booking conflictsDoes it confirm the actual result and handle a slot that is no longer available?

Unavailable staffIs the fallback clear when a transfer goes unanswered?

System failuresDoes the caller get an honest next step when an integration cannot complete?

Review completed bookings, correct details, successful transfers and follow-up effort. An answered call alone does not tell you whether reception worked.

BEFORE YOU PUT IT ON THE LINE

Your questions.
Properly answered.

What is an AI receptionist?

An AI receptionist is a voice assistant that answers inbound business calls, understands spoken requests and follows an agreed reception process. Depending on its configuration and connected systems, it can answer routine questions, collect enquiry details, book appointments and transfer callers to a person.

Is an AI receptionist suitable for a small business?

It can be useful when a small team regularly misses calls during appointments, on site or after hours. Start by reviewing why people call and what happens to missed enquiries. Repeated questions and straightforward bookings are good pilot tasks. Calls that routinely require negotiation, sensitive advice or complex judgement need more human involvement.

How much does an AI receptionist cost?

The total includes implementation and ongoing operation. Implementation covers call-flow design, approved answers, telephone routing, integrations and testing. Ongoing charges can include phone numbers, call minutes, voice and model usage, messaging, monitoring and maintenance. Anteomnio scopes the build around your call types and systems, then separates the implementation price from estimated recurring costs. We need call volume, typical duration and coverage hours to prepare a useful estimate.

Can we keep our existing business phone number?

Often, yes. Call forwarding or routing through your existing phone provider may allow you to keep the number callers already know. We check provider capabilities, transfer behaviour and forwarding charges before choosing the setup. Number porting is considered only when needed and supported; it is not a requirement for every project.

Can an AI receptionist book and reschedule appointments?

Yes, when the booking system supports the required integration. The receptionist checks permitted availability, confirms the service and caller details, and reports a booking as confirmed only after the scheduling system accepts it. Rescheduling and cancellation need separate rules for identity checks, notice periods and eligible appointments. If the system is unavailable, the caller receives a clear callback or booking-request option.

Can it answer calls after hours or only when our team is busy?

The routing can be configured for after-hours calls, overflow when staff cannot answer, or an agreed set of inbound calls. All-hours coverage depends on the telephone and AI services remaining available. We define an alternative route, such as voicemail or a backup number, and test what callers experience when a service fails.

Will callers know they are speaking to AI?

We design the greeting to identify the assistant clearly and offer a practical route to a person. The voice, pace and wording should suit the business without pretending to be a member of staff. Before launch, test calls check interruptions, names, background noise and the point at which the assistant should ask for clarification.

What happens when a caller asks for a person?

The receptionist follows the agreed transfer rules and staff availability. If a transfer is possible, it routes the call to the designated person or queue. If nobody answers, it explains the next step and records a callback request with the reason for calling. A callback is not described as immediate unless your team has committed to that response.

Can it connect to our CRM and calendar?

We assess the APIs and permissions available in your CRM, calendar and booking platform. An integration may create an enquiry, attach a call summary or reserve an appointment. We agree which records can be read or changed, how duplicate entries are avoided and who receives failures. Where direct integration is unavailable, a structured handoff may be the better first release.

How are call recordings and personal information handled?

Recording is a deliberate project decision, not a default requirement. Before launch, agree what information is collected, which providers process it, who can access it and when it is deleted. Call notices and consent requirements must be reviewed for the places and purposes involved. Sensitive or regulated workflows need their own assessment; a voice platform alone does not establish compliance.

How do we choose between an AI receptionist app, a managed service and a custom build?

Choose an app when its existing call flows, integrations and support fit your needs. A managed service suits teams that want a provider to operate reception within a defined service agreement. A custom build is worth considering when booking rules, routing, several systems or reporting requirements do not fit the standard options. Compare all three using your own sample calls, total running cost and the quality of human handoff.
