What We Were Solving
The provider operated four campuses with 2,800 students. Enrolment applications arrived by email, phone and post, all needing manual entry into three separate systems: the student database, the finance system and the timetabling software. Processing a single enrolment took an average of 30 minutes. During enrolment periods the admin team worked weekends to keep up. Student records were frequently inconsistent across systems because updates were not synchronised. Parents had no self-service access and called the admin office for routine queries. The office averaged 180 incoming calls per day during term time.
Our Strategic Approach
We built a unified student management platform that serves as the single source of truth across all four campuses. Online enrolment captures applicant data once and flows through automated verification, fee calculation and timetable assignment. The parent portal provides self-service access to attendance records, timetables, fee statements and direct communication with teachers. Student records synchronise across all functions in real time. An admin dashboard gives campus managers visibility into enrolment pipelines, attendance patterns and fee collection across all locations.
